Moving can be a stressful and overwhelming process, but with the right planning and organization, it doesn’t have to be. Creating a moving timeline is an essential step in ensuring a smooth and stress-free move. In this blog, we’ll provide you with a comprehensive guide to creating a moving timeline, complete with tips and advice from the NY and CT moving experts at Clancy Relocation & Logistics. By following these steps, you’ll be well on your way to a successful and organized move!

1. Start planning your move as soon as possible

As soon as you know you’ll be moving, it’s essential to start planning. This will give you ample time to research and select a reputable moving company, such as Clancy Relocation & Logistics, and ensure that you have all the necessary resources in place. The Federal Motor Carrier Safety Administration recommends starting the planning process at least two months before your move.

2. Break down your moving timeline into manageable tasks

Divide your moving timeline into smaller tasks that can be completed over several weeks or months. This will make the process feel more manageable and help you stay focused on the end goal. Some tasks to consider include:

  • Researching and selecting a moving company
  • Decluttering and organizing your belongings
  • Obtaining packing materials
  • Packing your belongings
  • Arranging for utilities and services at your new home
  • Notifying important parties of your upcoming move

3. Create a moving checklist

A moving checklist is a helpful tool for staying organized and on track during your move. You can create a physical list or use a digital app to keep track of your moving tasks. Be sure to include important deadlines, such as when to cancel or transfer utilities, and any appointments you need to schedule, such as a final walk-through of your current home.

4. Prioritize your tasks

Once you’ve created your moving checklist, prioritize your tasks based on their importance and time sensitivity. For example, booking a moving company should be a top priority, as reputable companies like Clancy Relocation & Logistics can book up quickly, especially during peak moving season. Other high-priority tasks may include securing your new home, transferring utilities, and updating your address with important parties such as your employer and the United States Postal Service.

5. Stay flexible and adjust your timeline as needed

While it’s important to stick to your moving timeline as closely as possible, it’s also crucial to remain flexible and adjust your plans as needed. Unforeseen circumstances, such as a delay in closing on your new home or an unexpected work commitment, may require you to shift your timeline. Be prepared to make adjustments and communicate any changes to your moving company and other relevant parties.

6. Enlist the help of professionals

Finally, don’t hesitate to enlist the help of professional movers to ensure a stress-free moving experience. At Clancy Relocation & Logistics, we offer a range of services, including packing, unpacking, and storage solutions, to help make your move as seamless as possible. Our experienced team of movers is dedicated to providing top-notch service and ensuring your belongings are treated with care. Request a quote today!

NJ Office Install: A Case Study in Installation and Streamlined FF&E Delivery

At Clancy Furniture Services, we pride ourselves on our Proven Project Process, a unique method we’ve developed to make installs of furniture, fixture, and equipment (FF&E) and delivery faster and easier for our clients. Recently, we had the opportunity to put our process to the test with our partner Dealer whose client, a designer and developer of IT software solutions, had an office installation in New Jersey.

office setup

Background

The Project consisted of a wide range of furniture products, including offices, trading desks with custom glass partitions, conference rooms, and seating. We received the products at our warehouse and reviewed the floor plans provided by the client to plan the method of delivery and installation.

blueprint

Problem/Challenge

The main challenge we faced was the tight timeline for installation, the General Contractor was behind and the client needed the space ready for use as soon as possible. We needed to ensure that the installation process didn’t cause any disruption to the General Contractors’ completion of their construction.

Solution/Approach

To overcome these challenges, we implemented our Proven Project Process, which involves prepping the products at our warehouse, loading by section on our trademark FastraK equipment, and delivering to the site via 2 straight trucks per day as dictated by the site, unloading, and staging per the floor plan. We then started installing the furniture, ensuring that each piece was placed exactly where it needed to be according to the floor plan. Throughout the process the space was clear of packing materials & debris, expediting the furniture installation and not hampering the GC from completing his work.

Results

Thanks to our Proven Project Process, we were able to complete the installation on time and on budget, with no disruptions to the client’s business operations. The furniture was inspected, polished to perfection, pictures were taken and we shook hands with the client, marking another successful installation for Clancy Furniture Services.

Ultimately, the help of an expert team is what will allow you to keep productivity alive throughout your office relocation. Your Clancy project manager will maintain close, continuous communication while creating your detailed timeline and throughout the entire process.

If you’re preparing for an office relocation in the near future, it’s time to begin planning! Give our team a call at (845) 302-3772 to begin today.

Decommissioning An Office

Office decommissioning is more involved than a pick-up-and-go situation. Vacating a professional space requires much more planning than most office managers expect.

You need time to handle a decommission the same way you would need time to handle a move. You need to be sure to protect your company’s sensitive data, whether it is on paper or a hard drive. And you need time to minimize the number of unwanted items that will find their way to a landfill if there is not enough time to plan properly.

Working with an experienced team like Clancy Relocation & Logistics gives you access to the advice you need to plan properly.

What is office decommissioning? It is the process of bringing your commercial office space back to its original condition and ensuring you meet your lease surrender requirements. Here is a preview of the areas you will need to cover:

Lease Review

Your lease will have specific requirements that must be met before vacating your commercial space. This could include specific cleaning and repair requests. Look closely at your lease termination clause., Make note of these requirements, and begin formulating a plan to execute each one. We will help you plan a timeline but remember to allow at least 1 to 2 weeks to review the space with the landlord. You will have time to address any final punch-list items.

Planning & Organization

Our team will help you by surveying your office space and discussing all of the furniture and fixtures, technology, and archives. Once everything has been taken into consideration, you can put together a project plan with a realistic timeline.

Disposal & Recycling

e-Waste

After taking a look at assets, there may be a pile of outdated technology, such as used headsets, old phones, broken laptops, and more that you no longer need to keep. Clancy brings your e-waste to a certified e-waste handler. Our partners are R2, or E-Stewards certified. They will ensure HIPAA and NIST 800-88 compliant data destruction.

Shredding

How many drawers are in your office? Each drawer potentially has old confidential materials in them. Your plan should allow time to inspect every drawer and ensure all confidential materials are collected and destroyed.

Fixtures

The removal of certain fixtures may be required depending on your termination clause. Mounts for TV’s, built-in shelves, custom lights, and more may need to be removed. If there is any question in your mind, schedule a walk-through with the landlord. Tenants sometimes avoid this only to find out the landlord wants items removed.

What you want to avoid is addressing these issues with only a few days left in your lease. Knowing the requirements of the landlord well in advance will help avoid incurring additional monthly lease costs and other penalties.

The Broom Sweep

After removing all assets from the premises, it is time to get the commercial space prepared before handing over the keys. A broom sweep refers to a level of cleanliness. Pieces of paper and other loose items are completely removed. But the space does not need to be scrubbed clean. But be careful to review the lease termination carefully. If a carpet is badly soiled or worn, you may need to clean or replace it.

Our team will help get the space clean and in the suitable condition in order to meet your lease requirements.

Disposition & Office Decommissioning Services

Decommissioning allows for organized, responsible disposal of assets a business no longer needs as you prepare for a relocation. Begin your project with us today by requesting a free quote, or speak with one of our experts to learn more about our services.

Whether you’re helping a company move its entire operation to a new location or simply make an internal shift, organization is essential. The process involves a lot of moving parts, departments with different needs, and working with sensitive technical equipment.

With so much planning and execution to keep track of, there is no doubt that bringing in a professional moving company like Clancy will make any office relocation a much smoother and more successful process.

The Importance of Organization

Think of the paperwork, furniture, extra supplies, and technology that a large office space accumulates over the years. As a business grows, so too does the need for a place to keep all of these items. All too quickly, businesses find themselves overwhelmed and with little to no additional space.

An organized space will not only help with productivity before, throughout, and after a move, but it will also result in a more cost-effective and practical use of square footage for team meetings and temporary desks for remote workers when they visit.

Finally, office organization plays a large role in minimizing downtime for a business. A dedicated logistics team from our office moving experts will work hard to limit disruption and get teams back to work as soon as possible.

How Clancy Helps You Get Organized

With nearly a century of experience, Clancy can accommodate any office relocation as well as their storage needs. Here’s how we help:

Pre-Move

Ahead of an upcoming move, we encourage you to begin by hiring external help. A moving company with plenty of experience, like Clancy, will take the burden off of the business’s shoulders and ensure a smooth transition into a new space.

Before a move, offices should also consider doing the following:

  • Clear out spaces filled with old, outdated, or unwanted technology.
  • Remove filing cabinets and go paperless.
  • Dispose of unwanted furniture.
  • Archive old files.

Continue reading to learn more about how Clancy is equipped to help you with all of these tasks and more!

Planning

A dedicated team of Clancy experts will take on the office move from beginning to end. Together, we will work to create a moving plan and budget, identifying important dates and deadlines that must be met. We will then take a look at any IT needs, ensuring that the new office location can meet them. Then, we will inventory equipment, aid in consideration of going paperless, and put together any plans necessary for external storage.

From there, we will create a seating chart that best fits the needs of the business, provide an employee plan for moving day, and finalize a schedule.

Office Technology Relocation

IT teams have enough on their plates as it is. Our technology relocation services allow them to sit back and have our Data Technicians handle the equipment carefully, responsibly, and in a well-organized way. Our techs are able to inventory, relocate, and reassemble your PC stations to ensure they’re ready for use the following day.

Additional services we offer include:

  • Desktop disconnect/reconnect
  • Monitor arm installation
  • Sit-stand desk wire management
  • Datacenter/server room equipment relocation
  • PC peripherals, IP phones, and printer station set up
  • Responsible disposal of e-waste

If you are in need of a technological solution not listed above, please contact our team to see how we can accommodate you.

Storage Needs

There may be office inventory in need of long or short-term storage during your move. From unused furniture to extra equipment, our storage facilities are well-equipped to keep these items secure until they’re needed once again.

And if the business is ready to go paperless, or looking to clear out years worth of old paperwork, our team can store these files, or assist with environmentally responsible disposal.

Post-Move

Once our team has successfully moved everything to the new office space, our continued work helps get the business off to an organized start.

Clancy installers will handle the furniture installation, getting everything ready for the next work day. This includes configuring modular furniture, cabinets, shelving, cubicles, conference rooms setups, and more.

As described above, our data technicians will be working efficiently to install IT-related equipment and PCs, while performing quality control. Our techs will get workstations ready for employees, ensuring neat cable management and no connection disruptions.

Here are a few more tasks businesses may want to consider in order to keep up with organization after Clancy has completed their relocation project.

Utilize Storage

As the business grows and changes, try to avoid cluttering up the office with unwanted items. Instead, take advantage of our storage solutions and asset inventory management to maximize your usable office space and increase productivity.

Encourage Your Employees

Employees play a large role in maintaining office organization. Encourage them to keep workspaces tidy and to continue going paperless to avoid a build-up of paper archives.

As employees begin returning to the office for work, consider creating name placards for desks to help everyone know who is who and to keep desks orderly and neat.

Today’s offices are filled with technology. And while that makes for more enjoyable and efficient workdays, it can pose a big challenge when it comes time to move your office space.

Unlike desks and chairs, most forms of technology can’t be simply picked up and placed in a box. That’s because technology involves so much more than what you’re physically moving. Throughout a move, you constantly have to consider network availability, connectivity, and data security.

Moving Office Technology

Everyone organizing an office move has the same goals:

  • Limit employee and workday disruptions
  • Avoid costly mistakes
  • Follow industry best practices and standards
  • Protect valuable electronic equipment

Coordinate with your IT department.

If you’re planning a large-scale move that involves hundreds of computers, your IT department likely won’t be able to handle everything that needs to be done (especially if it has to be done in just a day or two).

When you meet, break down what needs to be done and what your team is realistically capable of handling. Some of the most common requirements are:

  • Disconnect, relocate, and install all workstations.
  • Move switches, firewalls, and servers.
  • Ensure connections are working and all stations have internet access.

Consider specialty services.

Depending on the nature of your company, you may need to move certain technology, like medical equipment and mainframes, in a specialty crate.

Reach out to a moving company that specializes in IT moves.

Offices are filled with computers, monitors, IP phones, printer stations, data centers, and so much more. And not only does all of this equipment need to be moved carefully, but it also needs to be moved quickly so that your business can get back up and running.

Because of the delicate nature of an office relocation, it’s important to contact an office moving company that has technology moving experience.

Plan your move months in advance.

As you can see, moving technology is incredibly complicated. If your IT move is going to require a considerable amount of resources, we suggest reserving dates with a moving company as far ahead of the actual move as possible.

Clancy’s experienced technicians are here to quickly and neatly disconnect and reconnect all of the devices needed at your new office space. To learn more about our desktop services, and our other technology moving services, give us a call today at (845) 302-3772.

If you’ve ever moved to a new house before, you know how stressful the process can be — getting rid of things you no longer use, packing all of your belongings, and getting the new house ready. Now imagine you have to move an entire office.

Between finding a new office space, managing employees, balancing budgets, and coordinating with other members on your team, relocating a business is incredibly complicated and there are a lot of moving parts that need to be considered. If you’re ready to move offices, let us help alleviate some of the stress associated with it.

Tips for Moving Your Commercial Business

1. Start planning as early as possible.

Like we said, these types of moves involve a lot of planning and organization. If you wait too long and try to “wing it” at the last minute, you could find yourself faced with an insurmountable pile of tasks. If your move is going to require a considerable amount of moving resources, the best way to ensure success is to choose your mover and reserve dates far ahead of the actual move dates.

2. Have your employees get prepared.

Ask employees to pack up their desks themselves and take personal belongings home. Employees should also purge their workspaces of any obsolete, duplicate, or non-essential materials. Purging can result in a cost savings for your organization.

3. Select a qualified office moving company.

A full-service moving company, like Clancy Relocation & Logistics, will handle all of the packing for you, as well as the loading, unloading, and unpacking. And perhaps most importantly, you’ll also receive a project manager. Our project managers are trained to be able to anticipate troubles moving forward, minimize disruption, and communicate with others on your team regarding your move.

4. Protect your electronics.

Moving a computer isn’t as simple as throwing it in a box along with a few cords. With dozens, if not hundreds, of computers in an office, each one needs to be properly disconnected, packed, and then brought to the new office. And if you have a data center that needs moving, you may find yourself facing additional challenges.

But no matter the size or weight of your device, our team specializes in cabling, packing, crating, and transportation — giving you a complete physical relocation solution.

5. Know your old and new building regulations.

If you don’t own the building you’re moving out of or into, you’ll need to get a full breakdown of the moving regulations before you can really begin planning. Some buildings will only allow you to move after business hours or on weekends. Others will require you to request access in advance for certain things, like service elevators.

6. Clearly label items to be moved (or not moved).

Standard on a Clancy-provided office move are alpha-numeric / color-coded labels provided to all employees. These labels will tell the movers the exact location of your items when they are returned to you in your office or workstation.

As a rule, the movers are directed not to move items that do not have a move label on them; that means items such as trash cans, recycle bins, shredders, etc. must have labels on them or they will not be moved. Please don’t assume the movers know what is moving.

7. Think beyond the layout and design of your new office.

When planning a new office space, you’re going to spend a lot of time deciding on furniture, flooring, lighting, colors, etc. You and your coworkers should be very excited to begin working in the new space. However, most customers underestimate the amount of items coming from the new office. Without ample storage space at the new office the influx of contents from the old office can quickly tarnish the look of your new office space. Therefore, in addition to layout and design, give careful thought to the volume of contents and where things will be stored.

8. Bonus: Take time to celebrate.

Coordinating an office move is no small task. When everything is said and done, celebrate all that you, your team, and your employees have accomplished!
