If you are planning to relocate your company or are an office manager tasked with leading the project, Clancy Relocation & Logistics’ long time professional office moving consultant Ron Cognetta has shared some office moving tips with me to help everyone planning an office move.

Tip # 1.  Some of the most important considerations should be made BEFORE you create a move plan!mover bubble wrapping items

Start by making a list of all the pros and cons so you and your staff clearly understand the underlying need for the move and what it should accomplish. Special consideration should be given to the following:

  • When is the “best time” to move? Are there seasonal business fluctuations or other considerations that could affect this decision? How will this relocation impact the employees if we moved at a different time of year?  Does the facility you are in allow for moves during office hours or after hours only?
  • What effect will relocating the office have on overall productivity? While this question ties to the above, many office moving project leaders may find that careful planning can allow for a move any time of year.  Some business systems are hosted online and remain 100% available during the move, other systems will go offline and then IT will have to bring them “back up” after the move.
  • How much will the move cost? Get your numbers together on how many staff are moving and what equipment is being moved with them.  What percentage are you and your staff going to do yourselves?  While most personal items (like framed pictures) are moved by the employee themselves, many companies choose to have PC, Server and other networking equipment moved with the boxes of papers, filing cabinets and furniture. Figure out what your team can move on their own (within reason!) and submit a request for quotation. Clancy’s Office Moving staff are experienced with all moves of all sizes and scope and are well prepared to do all the work including delicate PC/Server moves.

These questions need to be addressed during the earliest planning phases.  Once you start a plan, it is harder to redesign the plan to include these important considerations.  That is why upfront planning is one of our most important office moving tips.

Tip # 2. At least 3 months before your move, select a “Move Team” rather than leaving the whole project to one person.

Select a “move team” at least three months before the actual relocation.  For  larger organizations, you may want to select people to manage specific areas such as office furniture and equipment, electronics and communication technology, plants, employee household relocation (if needed), and budget.  Often several of these responsibilities are given to one person, but make sure each of these areas is assigned to someone or something may get left behind for last minute (which may increase the cost).  Your delegated Move Team should be on hand the day of the move.

Tip # 3. For a budget-friendly move, allow enough time to weigh your options.

Managing the move budget is a critical activity.  It is a good idea to make department managers responsible for their individual budgets and ultimately passing departmental budgets to the decision makers. However you organize your move team, whether it consists of one person or 200, the issues and decisions are similar.

Moving can be “expensive” depending on the scale, and unforeseen expenses tend to be the rule, rather than the exception.  After all, your company may not be the type that relocates every day!  At the same time, there are ways you can be sure save your company money.  Allow enough time to weigh your options, and don’t forget one last very important office moving tip…moving expenses are tax deductible.

We’ve Expanded!

This Summer, not only has our team performed countless moves for businesses and families, we’ve also done some moving for ourselves.

Clancy Moving Systems headquartered in Patterson, NY has recently purchased a 150,000+ square foot warehouse and office building located at 7 Edmund Road in Newtown Connecticut. This brings Clancy’s warehouse space to over 300,000 sq. ft.

This purchase of the new warehouse was made just before the summer and will make servicing Clancy’s existing business and residential customers in Connecticut even easier Sal Buono, a director at Cushman & Wakefield’s Private Capital Group said in the New England Real Estate Journal.

“7 Edmond Road was a perfect fit for Clancy Moving Systems,” said Sal Buono. “This modern industrial facility property, which has been immaculately maintained over the years, will provide Clancy with virtually every feature needed to expand into the western Connecticut region. Its convenient location just off I-84 will make servicing this region even easier.”

John Clancy, President of Clancy Moving Systems was quoted by the Newtown Bee as saying,

“The facility gives us a lot of flexibility, and may have been a little bigger than we were originally looking for, but it offers us a lot of future potential for growth.”

Key property features include:

  • 18-foot ceiling height
  • 14 loading docks
  • Air conditioning throughout some of the storage areas
  • Plenty of parking and room to grow across 17.74 acres

It’s no secret that this acquisition is a strategic business move to aid us in satisfying the needs of Clancy’s growing warehousing and storage client base. Over the past few years the Clancy fleet of trucks and trailers has expanded to accommodate shipments of larger dimensions as well as sensitive equipment which require climate control while in transit.

Warehouse in Newtown, CTWarehousing and distribution customers may have different storage needs which is what makes the Newtown warehouse facility so special.

“Newtown features a great number of ‘Zones’ for Zone Segregated Storage” stated Joe Bortle, Warehouse Manager.  “Zone Segregated Storage’ is a fancy way to say there are a lot of walls in which we can isolate a particular customer’s inventory from another.  This is important when the customer has specific climate control needs. It’s good to have many Zones to choose from.”

10 Great Questions to Ask Your Office Mover

Below are a short list of questions you may want to ask your office mover before deciding to hire them for your relocation project.

It’s not meant to pose every question you may have for them however as each office move can be different from the next.

If you have a specific question about your upcoming office move, please contact us today.

  1. How long have you been in business? Check with the Better Business Bureau for help determining when they were accredited and their rating.
  2. Have you ever done an office relocation like ours before?
  3. Can you provide a reference for me to call?
  4. Can you also move our servers, computers and networking hardware?
  5. Do you own or rent warehouse space?  Please provide a picture (it says a thousand words).
  6. Will you be using floor protection?  If you are leasing a space many times your building manager will insist you have your office movers lay down floor protection like plastic or masonite sheets as well as provide other protection such as blankets, cardboard, etc. for the elevators (if applicable).
  7. Is your crew experiencing with disassembling and reassembling furniture?  If you are taking your furniture with you, please make sure you let your office relocation representative know what may need to be broken down and where it may need to be reassembled. The more you help your mover prepare, the more they will be able to help you have a stress-free office relocation!
  8. Do we need to empty our file cabinets before the move?
  9. What additional charges could apply to this move?
  10. What packing supplies can your company provide?
